What can you do on this screen?
The Training Needs Analysis (TNA) is the first step in any initiative, which seeks to determine whether a learning event is the right answer to close a performance gap on the job. That is, do you have new equipment that you need to train people on, or is there a gap between the performance standard and the actual performance you need to close, or do you need to develop a learning event for another reason?
In the folders/fields under the TNA, you can capture the reasons for the TNA under Justification, as well as information about the initiative, the Target Audience, and some overall training data. The TNA shares some information with the Training Management Document (as shown in the title for each area in this document) until the TNA is approved.

•Create a Modification TNA to capture changes that occurred after the TNA was approved. You only see this option, when you select an approved TNA.
•Select Show History to review the changes made to the information, including the user name and date/time of saved changes, and revert to an earlier saved revision.
•Preview the Training Needs Analysis.
•Delete a Modification Training Needs Analysis, if it is no longer needed. You cannot delete the primary TNA in the initiative.
Note: Once you've selected OK to the confirmation message, the Training Needs Analysis Deletion screen displays. Enter the title of the Modification TNA to confirm the deletion.
Note: You can copy and paste the title from the screen into the field to make it easier on yourself. If you only enter a partial title, the Modification TNA will not be deleted and the Training Needs Analysis Deletion screen stays open, ready for you to try again.
•Select Explain Flag to review the reasons the Training Needs Analysis has been flagged.
•Lock the Training Needs Analysis to prevent edits from taking place.
•Unlock a locked Training Needs Analysis to allow edits to take place again.
•Expand all sub-folders at once, including those under Training Data and Initiative Locations, to capture the information required for the TNA.
•View the information by clicking on the Training Needs Analysis folder.
•Edit the information about the Training Needs Analysis and initiative.
Figure 42: TNA Detail Screen - Edit Initiative ID The Initiative ID is the human readable identification or code of the initiative. This can be any mix of characters and numbers. For example, you could use first two to four letters to show the initiative subject area, the second three numbers to show the level of the initiative, use a letter to show the scope, and add the year the initiative is completed at the end. Using this example, the Kitchen Design module's ID would be: KD-101-M-19. You can edit the Initiative ID on the: •Initiatives > Initiatives screen. •Initiatives > Analysis > Initiative Management screen. •Initiatives > Design > Initiative Management screen. Initiative Title The full name or Title of the initiative. Date The Date of the document, this prints on the title page of the document. You can change the date at any time prior to approval. The Status of the TNA from lowest to highest status: •Incomplete - the TNA is a work in progress and/or is missing some required data as defined in a business rule. •Complete - the TNA is complete. •Lock for Review oThe TNA is complete and ready for review. oYou can only edit the TNA, if you have the Review privilege assigned to your role. oTo change the Status to Lock for Review, you need the Edit or Review privilege assigned to your role. oTo change the Status back to Incomplete or Complete, you need the Review privilege assigned to your role. •Locked oThe TNA is complete and has been reviewed, no more work is allowed. oNo one can edit the TNA and any related content, without unlocking the TNA first. oTo change the Status to Locked, you need the Lock privilege assigned to your role. oTo change from Locked to any other status, you need the Unlock privilege assigned to your role. Note: Locking the TNA will split it off from the TMD, so any changes made in the TMD will NOT be reflected in the TNA. If you want to resync the TNA data with the TMD data at any point, Lock both of them separately, then unlock the TNA. That will ask you whether you want to delete the TNA data and resync with the TMD data. Click OK and the TNA data will resync with the TMD data, while keeping any TNA specific data intact. •Approved oApproving the TNA does not approve the course, it just approves and locks the TNA from any further editing. oAny data the TNA shares with the TMD will no longer be updated when the data in the TMD changes. Note: You cannot unapprove a TNA, so only set the Status to Approved if required. Once you have approved the TNA, you can Create a Modification TNA, which will create a new TNA with the current data of the TMD for you to modify. When you save a change in Status or lock the TNA, the required Business Rules will run to check whether any fields are missing information. Any identified issues are listed on the Business Rules Results screen. In order to save a change in status for the TNA, the following TMD fields require some data to be entered: •Foreword •Purpose of Initiative TNA Type The TNA Type drop-down shows the available types of Training Needs Analysis (TNA), including New (for a new initiative), Revision (for an update to an initiative), and Cancellation (to cancel any initiative that will no longer be taught). Once the TNA has been approved, a Modification status is available, if the TNA needs to be updated. Starting Fiscal Year The Starting Fiscal Year to use on the Training Data > Funding and Personnel screens. You can change this at any time. Changing the Starting Fiscal Year will NOT delete any funding information on the Training Data > Funding or Personnel screens, so if you changed the year by mistake you can return to the previous selected year without a loss of data. The fiscal year used in LEAD is whatever fiscal year your organization uses. Initiative Type You can type a brief description of the actual type of learning proposed for the initiative in the Initiative Type field, e.g., instructor-led, blended, e-learning, workshop. Prepared By The Prepared By drop-down lists the department that prepared the documents and works on the initiative. Prepared For The Prepared For drop-down lists the department that will receive the documents for approval and/or the training when it has been developed. |
Once you've set the Status of the TNA to Complete, the TNA can still change, as some data is shared with the TMD. To prevent any changes to the TNA, you can approve the TNA. That will change the Status to Approved and lock the TNA and prevent any further edits. If you have not changed the Status to Complete, we recommend you do so, before trying to approve the TNA. To approve the TNA, select the Training Needs Analysis folder in the tree structure. Then select Approve. Please note: You cannot unapprove a TNA, to make changes or to reflect the changes made in the TMD, you will need to create a Modification TNA. |
To create Modification TNA, first select the approved Training Needs Analysis folder in the tree structure. Then select Create Modification TNA . This will add a new Training Needs Analysis folder underneath the approved TNA in the tree structure. The Modification TNA will contain the shared data from the TMD (so you get the latest data) and any TNA specific data from the approved TNA. You can: •Create a New Modification TNA for an approved TNA, including for an approved Modification TNA. •Select Show History to review the changes made to the TNA information on this screen, including the user name and date/time of saved changes, and revert to an earlier saved revision. •Preview any of the TNAs by first selecting one to preview. •Delete a Modification TNA, as long as it hasn't been approved. •Approve a TNA, as well as any Modification TNAs. |
